Who’s responsible

Groundwork with Samaneh is a relational and life coaching practice based in Montréal, Québec. The person in charge of protecting personal information is Samaneh, the founder. You can reach her at hello@groundworkwithsamaneh.com.

What we collect, and why

Only what you choose to send, and only to do what you asked.

“Rather write first?” form

Your name, email, phone (optional), your message, optional answers about past reflective work and how you heard about Groundwork, and when you gave consent. Used to reply to you.

Letters from Samaneh

Your email address. Used only to send the letter you signed up for. Every letter has an unsubscribe link.

Quiz: “Email me my full result”

Your first name (optional), email, and your quiz result. Used to send you your result, and the letter only if you ticked that box.

Booking a call

The details you enter in the booking calendar, such as your name and email. Used to schedule and hold the call.

The quiz itself

Your answers stay in your browser’s session storage and are cleared when you close the tab. They’re never sent anywhere unless you ask for your result by email.

The Letters tab

If you close or subscribe through the small “Letters from Samaneh” tab, your browser remembers that (local storage) so it stops asking. Nothing is sent.

Cookies and analytics

This site doesn’t use advertising or tracking cookies, and it doesn’t run analytics. The booking calendar is provided by Calendly and may set its own cookies once it loads; Calendly’s privacy policy explains how.

Who processes it for us

A few trusted service providers handle information on our behalf, only for the purposes above:

• Google Cloud (Cloud Run and Firestore), which hosts this website and stores what you send through its forms.
• Calendly, which runs the booking calendar.
• Brevo, which sends the website’s emails (such as your quiz result) and the letter, and keeps the Letters subscriber list.

These providers may store information outside Québec, including in the United States and the European Union. We chose them after considering the protection they offer, and we use them only to do what you asked.

How long we keep it

• Messages from the inquiry form: up to two years after our last contact, unless we start working together.
• Your email for the letter: until you unsubscribe.
• Quiz result requests: deleted within twelve months of sending.

Your rights

You can ask to see the personal information we hold about you, correct it, receive it in a structured, commonly used format, have it deleted, or withdraw your consent at any time. Write to hello@groundworkwithsamaneh.com and you’ll get a reply within 30 days.

If you’re not satisfied with the answer, you can contact the Commission d’accès à l’information du Québec.

Keeping it safe

We use reputable providers and limit access to what’s needed. If a confidentiality incident ever presents a risk of serious harm, we’ll tell you and the Commission d’accès à l’information, as the law requires.

Coaching sessions

This policy covers the website. What you share in coaching sessions is handled under the confidentiality terms we go over together on our first call.

Changes

If this policy changes, the date at the top changes too. Significant changes will be noted here.
